UVA staff have the opportunity to make a significant impact at UVA through a new annual competition, “Hoos Making an Impact,” by submitting innovative ideas that will help streamline or improve a process at UVA. This year’s theme is sustainability. The competition is hosted by the Staff Senate in partnership with the President's Office to cultivate staff success across UVA Grounds in alignment with the University’s 2030 Strategic Plan.

Competition Timeline

  • Begin accepting submissions - September 6th

  • Submission window closes - October 7th

  • Submissions narrowed to Top 10 - December 2022

  • Winner(s) selected - February 2023

How the Competition Works

Overview

  • During the competition enrollment period, staff can submit as many ideas as they would like.
  • Once the enrollment period ends, a UVA Screening panel will review the submissions and select the top ten (10) project ideas.
  • The staff member(s) whose projects were selected as one of the top ten (10) will present their sustainability-focused process improvement idea to a review panel.
  • The panel will select one (1) to three (3) winning process improvement initiative(s) to be implemented

The Screening Panel will be composed of the Staff Senate Co-Chairs and designees from the Offices of the President; Provost; Chief Operating Officer (COO); Vice President of Diversity, Equity, and Inclusion (DEI); and Sustainability.

Eligibility

Any individual, team, or members of any department/school may submit an idea to be considered by the screening panel.  There is no limit on the number of entries from an organization at the university. Staff members who are eligible to enter the "Hoos Making an Impact" are:

  • Full-time and Part-Time
  • Classified and University

Staff Members who are not eligible to enter the "Hoos Making an Impact" are:

  • Staff Senate Executive Committee Members

Submission Requirements

Note that a submission can come from an individual or a group

  • A description of the proposed idea and why it is needed
  • How the idea supports Key Initiative #5 of the UVA Strategic Plan
  • How the idea advances one or more of UVA's 2030 Sustainability Plan Goals
  • The plan for implementation and estimated timeline
  • A list of the key stakeholders (individuals/offices/groups who will need to be involved in the implementation of the project)
  • What the outcomes will be once implementation is complete
  • Estimated budget (up to $100,000)
  • Proposed benefit or impact of this idea

How Submissions Will be Evaluated

  • Innovativeness of the proposal
  • Connection to Key Initiative #5 of the UVA Strategic Plan (how the proposed idea cultivates staff success)
  • Environmental/sustainability improvements that support the goals of the 2030 Sustainability Plan
  • Clear, measurable outcomes
  • Simple and straightforward approach
  • Creative use of tools, techniques, processes, and systems
  • Potential for the project to be scaled across the University

How Ideas Will be Selected

Below lists the process of the three (3) rounds of judging.

First Round

All entries will be evaluated and fifty (50) finalists will be selected to go into the second round of judging.

This round will be judged by the Staff Senate Executive Committee.

Second Round

The top 50 entries will be reevaluated and narrowed down to the top ten (10) submissions.

This round will be judged by:

  • Designees from the following offices: President; Chief Operating Officer; Provost; and Vice President of Diversity, Equity, Inclusion and Community Partnerships
  • Staff Senate Co-Chairs
  • Sustainability Director's Designee
  • Representatives from University wide units (i.e. Finance, IT, FM, etc.)

Final Round

The staff with the top ten (10) submissions will present/defend their idea to the Screening Panel who will then meet to discuss each presentation/defense and select one (1) to three (3) winners.

This round will be judged by

  • Designees from the following offices: President; Chief Operating Officer; Provost; Vice President of Diversity, Equity, Inclusion and Community Partnerships
  • Staff Senate Co-Chairs
  • Sustainability Director's Designee
